Booking InformationReservation ProceduresReserving and booking your trip on GORPtravel is easy, convenient and fast. When you have found the trip you want to take on our website, simply contact us! Give us a call, Monday to Friday from 9:00 am to 8:00 pm EST and we will be happy to reserve your trip for you. We will be able to tell you about trip availability, prices and dates and answer any other questions you might have. Once our helpful Adventure Consultants have confirmed that there is still space on the trip, they will email or fax you our GORPTravel Reservation Form. Once you fax the form back to us, we will confirm your spaces and respond within 24 hours with a confirmation, as well as any questions or further information you may need to book your trip.
Deposits We require a deposit in order to reserve a trip. Once the deposit is secured, your trip is confirmed! You can give us your deposit several easy ways: over the phone, via email or fax. We accept Visa and MasterCard. Here are the deposit fees for our trips, per person: For Adventure Trips/Tours: $400 per person. Some trips require an additional deposit. For Dude Ranch Vacations: 30% Deposit of the Total Ranch Package Balance Payment For Adventure Trips/Tours Once you have made a reservation with GORPtravel, the balance payment is due 90 days prior to departure. The easiest way to pay us the balance is to give us authorization, at the time of booking, to automatically charge your credit card when the balance is due. If that is not possible, we can also give you a reminder call or send you an email. You can also, of course, do it the old-fashioned way and send us a check or money order in U.S. dollars. If payment is not received when due, GORPtravel reserves the right to cancel the reservation. If you are booking your trip within 90 days prior to departure, the entire balance must be paid at the time of booking. For Dude Ranch Vacations Your balance with tax, gratuities and any additional charges (optional) is due at check-out for most dude ranch vacations. Some exceptions do exist and your Adventure Consultant will explain this to you at the time of booking. Important Information Reservations with deposits are accepted in the order they are received. Cancellations will be handled in conjunction with the policies clearly stated on this page. In making reservations with GORPtravel the participant affirms that they have read and understood all the conditions and policies regarding deposits, cancellations, changes, and balances agreeing to their content. Upon receipt of this completed Reservation Form and required payment, GORPtravel will send detailed trip information and a statement reflecting payments made and balances due. Your reservation will be considered valid only after GORPtravel receives a fully completed Reservation Form and Release, Assumption of Risk and Indemnification Agreement signed by each trip participant, parent or guardian (if participant is under the age of 18). ALL RATES QUOTED ARE SUBJECT TO CHANGE WITHOUT NOTICE Pre-Departure Packets Once you have made your trip reservation and given us your deposit, we will send you a Pre-Departure Packet. You will receive this packet shortly after you book your trip. Some trips also offer additional information packets that will be sent to you within 1-2 months before departure. Airline, Car and Hotel Reservations For great deals on airfare, car rentals and hotel reservations, we recommend visiting Travelocity.com. Last Minute Bookings No problem! We would love to help you. Please note that when you book your vacation 45 days or less prior to departure, we will need to add a $30 priority handling charge to your invoice. Changes To Your Reservation It is important to note that once you confirm your reservation with a deposit, any changes whatsoever, including but not limited to trip dates, participant's names or party size, will be subject to a $30 administration fee, plus any price adjustments that may have been incurred. GORPtravel's Cancellation Policy Each adventure trip, dude ranch or wilderness resort has their own set of rules regarding canceling a trip. Policies and penalties will be covered both verbally and in writing at time of booking. We strongly recommend purchase of trip cancellation insurance that will be sent with your pre-departure packet. Price and Itinerary Changes All rates listed on this site are quoted per person in U.S. Dollars and unless noted, based on double occupancy. International trip prices are based on current average exchange rates and operator pricing at time of printing. All fares, rates and prices quoted are subject to change without notice. And as always, trip schedules and itineraries are subject to change due to weather, water and trail conditions and other forces of nature. We do hope you recognize these possible predicaments and we appreciate your understanding. Customized Trips Certain trips can be customized to suit your interests both in terms of departure date as well as itinerary. Typically, these trips can be customized with a minimum of 2 participants, although some trips may require more participants in order to be modified. There may be an additional cost associated with customizing trips. Please contact us (Link to contact us email here) about opportunities to customize a trip to suit your needs and interests. International Airfare For all U.S. based trips airfare is not included in the trip price. Please check the trip facts on the website for details. Further, each operator has an individual policy of transfers -- sometimes they are included in the price of the tour and other times they are not. But we want to make sure you get to your adventure travel trip - and back home again - with as least effort as possible. Guest Travel It is vital for us to know how and when you will be arriving as well as where you plan to stay on the evening prior to the trip. Please keep us informed of any changes in your plans. Travel Insurance GORPtravel can provide you with a vacation insurance plan that covers accident, baggage and cancellation claims. Upon confirmation GORPtravel will send an information pamphlet and application. GORPtravel highly recommends purchasing the Trip Cancellation Insurance that can provide reimbursement of all trip fees if you cancel prior to departure. GORPTravel offers travel insurance through Travelex Insurance Services. You can visit their site, by clicking on this special GORPTravel link to Travelex: Travel Documents International travel requires a passport. Visa information varies by country and you are responsible for obtaining the necessary documentation through your country of destination's Consulate or Embassy. Travelers from countries outside the United States should contact the desired destination's consulate to determine what documentation is required. Group Trips Contact us and we will help you plan and design the best group trip to suit your needs. Or you can check out our GORP groups webpage for more information. Tipping Tipping is always optional and a personal decision on your part, based on your overall experience. A guide is rewarded by the opportunity to show you a beautiful area and to share your vacation with you. However, a financial gesture of appreciation will be well received! If you do choose to pass along a gratuity, it is appropriate to direct it toward the trip leader who is responsible for distribution. The industry standard is 10-20%. Client Responsibilities GORPtravel, its owners and respective employees are acting only as the agent for the tour operators and other travel service providers and assume no responsibility or liability whatsoever for any personal injury, including permanent disability or death, delay, accident, sickness, damage to or loss of personal property which results from or in any way arises out of or in connection with any travel services purchased through GORPtravel, including any negligent acts or omission of the tour provider or its contractors, strikes, armed conflict, criminal conduct by third parties, natural disaster or the like or additional expenses incurred due to weather, disruption of advertised schedules or other causes beyond GORPtravel's control. By sending in a deposit, you certify that you and everyone in your party are in good health and do not have any physical condition or disability that would create a hazard for you or any fellow travelers. It is recommended that all participants maintain adequate travel, cancellation and accident insurance. While every effort is made to ensure a safe, enjoyable trip, implicit in all adventure and experiential travel and related activities are inherent risks, which risks are hereby assumed by each participant. All participants are required to complete a Reservation Form and the GORP Release Form as a condition to validating their reservation. By making such reservation and paying the required fees to GORPtravel, you hereby agree to and accept all of the foregoing terms, policies and limitations on liability set forth in this Catalog.
